11. Capacity and maintenance

Set seating capacity and unit counts, track individual assets, and take one unit out of service

Step 11: Capacity and maintenance

Two numbers people mix up, and the difference between a service log and something that actually stops bookings.

Capacity

Fleet & Tours > Fleet, the blue pencil Edit Inventory on the item's row, then Capacity & Rules.

FieldWhat it means
Seating CapacityHow many people fit on one unit
Assets AvailableHow many units you own

A six seat pontoon that you own three of is 6 and 3, not 18.

More than one unit forces asset tracking on

Set Assets Available above 1 and Track Inventory ticks itself and then disables. The Asset Tracking step will keep reminding you how many IDs are still required.

Use Quick Add with a prefix and a count to generate IDs, then Review and Save Changes.

Never rename or delete an ID that already exists

That ID is what bookings are assigned to. Changing it disconnects them from availability, and nothing warns you. Adding new IDs is always safe.

Taking one unit out of service

Maintenance, then:

  1. Pick the item in the Inventory dropdown and the unit in Asset.
  2. In the Dry Dock / Rental Blocking card, click Schedule Dry Dock.
  3. Fill Reason (Optional) and tick the unit under Assets to Block (Optional).
  4. Set Start Date & Time and End Date & Time, then Schedule Dry Dock.
Leaving Assets to Block empty blocks every asset on the item

Despite the "(Optional)" label, an empty list means the whole item, not the unit you selected at the top of the page.

Existing bookings are never cancelled. An overlap stops at a Booking Conflicts Found screen where you reassign them or proceed.

You are done when

Your unit counts match reality, and you know which of the two maintenance actions actually stops a unit selling.
