The Walk-Up Hub is a board-style operations screen for managing walk-in rentals. Instead of a single table of active rentals, it lays out one column for each stage of your booking pipeline and lets you move a party across the board as it progresses from arrival to on-the-water to paid. It is the newer alternative to the classic Nav Board walk-up flow and runs on the rental-session engine.
Each card on the board is a party (one walk-up group), which can hold several assets at once. You advance a party by dragging its card between columns or using the arrow buttons on the card.
Turning it on
The Walk-Up Hub is opt-in per location. Enable it under Store Settings > Check-in / check-out with the Enable Walk-Up Hub setting. When it is off, the page and its sidebar entry are hidden, and opening the page directly shows a "Walk-Up Hub is turned off" message.
Once enabled, it appears in the sidebar under Operations as Walk-Up Hub. The board polls for updates every 15 seconds, so changes made elsewhere (for example a tab paid in the POS) appear on their own without a manual refresh.
Board layout
| Area | What it shows |
|---|---|
| Fleet sidebar | A live availability panel on the left listing each inventory item and asset type, with available / out / total counts |
| Stage columns | One column per enabled pipeline stage, in your configured order, each headed with the stage name and a live count |
| Party cards | A card per walk-up party, sitting in the column for its current stage |
Stage columns
The columns are your location's booking pipeline. They are fully settings-driven: the names, colors, order, and any custom stages you configure under Store Settings > Booking pipeline all carry over. Only stages you have enabled appear as columns.
A default pipeline produces columns like these:
| Stage | Role on the board |
|---|---|
| Booked | First column; new and pre-booked parties start here |
| Checked In | Party has arrived |
| Rundown Ready / In Progress | Safety briefing stages |
| On Lake (on-water) | Party is out on the water; the rental clock is running |
| Returned | Party is back; the clock has stopped |
| Checkout | Ready to collect payment |
| Complete | Paid and closed out |
Three stages carry automatic side effects when a party lands in them, regardless of what you have named them:
- On-water stage (On Lake by default): starts the rental clock. The timer begins ticking up from 0:00 and billable time accrues.
- Returned stage: stops the clock.
- Complete stage: settles the party. Reaching it always routes through checkout so the balance is actually collected.
Pulling in online bookings
The first column also lists eligible online bookings that have not yet started. Each shows the asset, customer, party size, and start time with a Bring into hub button that converts the booking into a hub party so you can run it on the board.
Party cards
A card represents one walk-up party and can carry several assets. Cards start collapsed to keep a busy column scannable.
| State | What you see |
|---|---|
| Collapsed | A per-asset-type summary (for example "1x Single Kayak", "3x SUP") and the longest live clock in the party |
| Expanded | Each asset as its own line with its own timer and controls (click the card header to expand) |
The card header shows:
- Party name -- the lead's full name. Click it to open that customer's profile.
- People count -- click to see a roster popover of everyone on the ticket, with the lead marked.
- Prepaid chip -- appears when the party paid something online; checkout collects only the remaining balance.
- Item count -- how many assets are on the party.
The live timer color signals state: an amber clock means paused, green means returned, a blue countdown means the party is still in its pre-launch buffer (not yet billing), and a running clock counts up normally. A settled party reads Paid and is locked.
Moving a party through the stages
There are two ways to advance a party:
- Drag the card into another column. The whole party moves as a unit, even if it holds several assets.
- Use the card buttons. The double-arrow buttons move the entire party back to the previous stage or forward to the next. On an expanded line, the single back / forward arrows move just that asset.
Launching onto the water
Moving a party into the on-water stage launches it immediately: the clock is set to start at 0:00 so on-water time begins counting from that moment, no matter how the scheduled departure was set.
Taking a party back off the water
Dragging a party backward to a pre-water stage while its clock is already running prompts a confirmation. Confirming resets each affected asset to a one-minute buffer (-1:00) and pauses it, and the time already accrued on the water is not billed. This keeps the party clearly in the pre-water column, ready to relaunch when you are.
Reaching Complete
Moving a party to the Complete stage opens the checkout dialog rather than silently marking it paid. The balance must be collected, or you must explicitly complete it, before the party settles. This applies whether you drag the card to Complete or use the forward arrow.
Timer controls
While a party is out, each card offers timer adjustments:
| Control | Effect |
|---|---|
| Pause / Resume | Freezes or resumes a single asset's clock |
| Pause all / Resume all | Pauses or resumes every running asset in the party at once |
| -1 / +1 min | Nudges the clock a minute earlier or later, for one asset or the whole party |
| Sync all to longest | Levels every asset in the party up to the longest-running one so their clocks match |
| Void | Cancels a single asset's rental. It leaves the board and is not charged. This cannot be undone |
Checkout
Checkout opens when a party reaches Complete, and a Pay button also appears on the card header once any asset in the party is Returned so you can collect without dragging.
The dialog lists each asset with its price, which you can adjust before charging (for example to comp a line). It then offers the payment paths that apply to the party:
| Option | When it appears | What it does |
|---|---|---|
| Complete -- nothing owed | Balance is $0 (including paid-in-full prepaid) | Closes the party out in one tap |
| Charge card on file | The customer has a saved card | Charges the balance to the saved card; a connected reader prompts the guest for a tip, then captures base plus tip |
| Send to terminal | A reader is connected and there is no saved card | Collects the balance on the physical reader, which prompts the guest for a tip |
| Pay in POS | Always available as an alternative | Pushes the remaining balance to a POS tab and opens the register, so you can take cash or card there |
| Complete with a balance owed | A balance remains | A warn-but-allow override that settles the lines and leaves the balance owing |
When payment succeeds, the party's lines are marked settled, the party advances to Complete and locks, and each settled asset is exported as its own booking record for reporting.
Completed parties
Settled parties stay in the Complete column so you can see the day's finished rentals, then drop off the board automatically after about 18 hours. To clear one sooner, use the Archive button on the party header, or Clear item on an individual settled line. Cleared items stay hidden across refreshes.
From a settled line's menu you can also open the booking record (View booking) or jump to the customer's profile.
New walk-up
The New walk-up button in the header opens the same intake wizard used elsewhere for walk-ins: select inventory and quantities, enter the customer and any group members, handle waivers, assign assets, and launch. See Walk-ups for a step-by-step walkthrough of the wizard. Once launched, the new party appears on the board and you run it from there.
How it differs from the classic walk-up flow
| Aspect | Nav Board (classic) | Walk-Up Hub |
|---|---|---|
| Layout | A table of rentals currently on the water | A kanban board with a column per pipeline stage |
| Scope | Focuses on active, on-the-water rentals | Covers the whole pipeline, from arrival through paid |
| Advancing | A Stop button ends a rental and sends it to checkout | Drag a card or use its arrows to move through every stage |
| Clock | Starts when the walk-up launches | Starts automatically the moment a party enters the on-water stage |
| Grouping | One row per rental | Multi-asset walk-ups group into a single party card |
| Setup | Available by default | Opt-in per location via the Enable Walk-Up Hub setting |
The board scrolls sideways: grab any empty space and drag left or right to pan across the columns. During a drag the board freezes so a card never jumps columns mid-move.
The page says the hub is turned off -- Enable it for this location under Store Settings > Check-in / check-out > Enable Walk-Up Hub.
A finished party disappeared -- Settled parties leave the Complete column automatically after about 18 hours, or immediately if someone used Archive or Clear item.
Moving a party back off the water lost its time -- That is expected. Taking a running party back to a pre-water stage resets its clock and does not bill the time already accrued, so only move backward when you intend to relaunch.
