Renter walkaround photos
Your renters can photograph their boat on their own phone before they head out, as well as your staff. The photos are saved to the booking with the time we received them, so any scratches or dents that were already there are on record before the rental starts.
It is off until you turn it on, location by location.
Your staff check-out works exactly as before, with the same photo and video requirements. Renter photos are extra evidence on top of it.
Turning it on
Go to Locations > [location] > Location Settings > Operations > Check-In / Check-Out and turn on Renters photograph their unit before they leave. On newer accounts, Check-In / Check-Out sits in the collapsed More settings group at the bottom of the list. Three more settings appear:
| Setting | Default | What it does |
|---|---|---|
| Minimum renter photos | 4 | How many photos the renter must take before they can save |
| Renter photos open (minutes before start) | 60 | How early the renter can start |
| Renter photos close (minutes after start) | 60 | How late they can still add photos. Never past the end of the booking |
What the renter sees
A card on their Next steps page: Photograph your rental before you go.
- Before it opens, the card says when it opens.
- Until a unit is assigned, it says it is waiting for their rental to be assigned. Photos always belong to a specific boat, so the step only opens once the booking has one.
- When it is open, each unit on the booking has a Take photos button. The renter walks around the boat and photographs the front, the back, both sides, the controls and any damage they can see. They can remove a photo before saving, and add more later while the window is open (up to 60 per unit).
The camera opens directly. If the phone's camera does not open, a Choose photos link lets them pick from their photo library instead.
The renter needs the link from their booking confirmation email or text. Someone who only knows the booking number cannot see or add photos.
Where you see the photos
- The booking's check-in/out timeline shows a blue Renter photos record marked Taken by renter, with the time we received them.
- The evidence packet includes them in the inspection section, labelled as the renter's departure photos, and the chronology shows Renter photographed the unit before departure.
They do not appear in Rundown Records, which stays a record of your staff inspections.
The photos are stored privately. They are never posted to a public address, and your staff see them through short-lived secure links.
Ship Shape damage checks
Ship Shape compares the departure photos with the return photos. Your staff's photos always come first:
- Staff photographed the departure: Ship Shape compares staff against staff, as it always has. The renter's photos are kept as evidence only.
- Staff photographed the return but not the departure: Ship Shape compares the return against the renter's photos instead of skipping the check. The result notes Compared against the renter's own departure photos.
A renter's photos never stand in for the return. Your staff still need to inspect and photograph the boat when it comes back.
