Checkout board

Settle returned rentals and finalize bookings with a single view of what still needs to be closed out

The checkout board is the last stop in the rental lifecycle. Once a rental comes back and its assets have been inspected on the return board, the booking moves into "Pending Checkout" here so staff can settle any remaining balance and close it out. Finished rentals drop into the "Complete" column. It is a two-column view (Pending Checkout on the left, Complete on the right) that stacks into swipeable tabs on mobile.

Board layout

ColumnStatusDescription
Pending Checkoutcheck_outRentals that have returned and been inspected, and are now waiting to be settled and closed
CompletecompleteRentals that have been fully checked out and finalized

Each column header shows a live count. On mobile the two columns become tabs labeled "Pending Checkout" and "Complete" that you swipe between.

Bookings only appear on this board once they reach the check_out status, which happens automatically on the return board when every asset on the rental has been checked back in. Access requires the Boat Brigade permission.

Booking cards

Each card shows:

ElementDetails
Customer initialsAn avatar tinted amber for pending checkouts and blue for completed rentals
Customer nameFull name from the booking record
Status chip"Pending" (amber) or "Complete" (blue)
InventoryAsset type or inventory name
Asset IDsAssigned asset identifiers, prefixed with #
TimeReturn time for pending checkouts, start time for completed rentals
Outstanding balanceThe amount still owed on the booking
Assigned staffThe staff member assigned to the rental, if any
Damage indicatorA red border when damage was flagged during the return inspection

Bookings that belong to a larger order (multiple line items booked together) are grouped into a single expandable card so you can see every item on the order at a glance.

The checkout action

The checkout action lives on each card in the Pending Checkout column.

  • POS button -- Every pending card has a POS button. Tapping it opens the register with the booking already attached, so you can collect the remaining balance, ring up add-ons, and take payment. Settling the balance and finalizing the sale is what moves the rental into the Complete column.
  • Open the booking -- Tapping anywhere else on a single card opens that booking's detail page, where you can review charges, take payment, or make adjustments directly.
  • Open the order -- On a grouped card, tapping the header opens the parent order, while tapping an individual line item opens that specific booking.

Once a rental has been settled, it moves from Pending Checkout to Complete on the next refresh.

Auto-refresh

The board refreshes every 30 seconds so it stays current as staff work through checkouts. Changes made by a colleague, such as settling a balance at the register, appear automatically without a reload. The board also revalidates when you return to the tab or reconnect after losing signal, and a manual refresh button sits in the header alongside a live clock.

Date filtering

Tap the Filters button in the header to open the date filter panel. By default the board is scoped to today.

  1. Set a start date and end date.
  2. Tap Apply Filter to activate the range, or Reset to return to today.

The panel also has an Always filter completed bookings by date toggle. When it is on, the Complete column is always limited to the selected date range even if the main filter is off.

Pending checkouts are never filtered by date. They always show every rental that is waiting to be settled, so nothing gets lost off the bottom of a date range. Filter settings are saved to local storage and restored the next time you open the board.

All locations

The checkout board follows the location selector in the top bar. Select a single location to see just that dock, or choose All Locations to pull pending checkouts and completed rentals across every location on the account into one view.

Tip

Keep the checkout board open at the front desk or register. Pending Checkout is your running list of customers who still owe a balance, and the POS button gets you from that list to payment in one tap.

Troubleshooting

A returned rental is not on the board -- The booking only appears in Pending Checkout after all of its assets have been checked back in on the return board. Finish the return inspection first.

A completed rental is missing -- The Complete column is filtered by date. Widen the date range in the Filters panel, or turn off the "Always filter completed bookings by date" toggle.

Red border on a card -- Damage was recorded for that rental during the return inspection. Open the booking to review the damage report before settling.
