Follow-ups are lightweight to-do items that resurface at the right time. Attach one to a booking to remind yourself to verify a head count, chase a signed waiver, or call a customer back, then let it show up in the Follow-ups view and your notifications when it comes due. Any staff member can complete a follow-up, so it works as a shared team checklist rather than a personal task list.
Creating a follow-up from a booking
Follow-ups are created from a booking's Internal Notes section, on the order or booking details page. There are two entry points:
| Entry point | Where it is | What it does |
|---|---|---|
| Add Followup | Button in the Internal Notes header | Creates a general follow-up for the booking, not tied to any specific note |
| Followup | Small button under an individual note | Creates a follow-up linked to that note; the note text pre-fills the description |
When you use the per-note button, the note's text is copied into the description as a starting point so you don't have to retype it. Both open the same dialog.
The follow-up dialog
| Field | Required | Notes |
|---|---|---|
| Due | Yes | Date and time the follow-up should surface. Defaults to tomorrow at 9:00 AM. |
| What to follow up on | Yes | A short description of the task, for example "Verify head count for next year's booking". |
| Assign to | No | Pick a team member from the staff list. Assignment is optional. |
Quick due-date presets
Below the date picker, one-tap buttons set the due date without opening the calendar. Each preset lands at 9:00 AM on the target day:
- Tomorrow
- In 1 week
- In 1 month
- In 3 months
- In 1 year
Assignment
Assigning a follow-up to a team member is optional and is only a hint. The note under the assignment field says it plainly: anyone on the team can complete the follow-up regardless of who it is assigned to. Assignment does two things:
- It labels the follow-up with that person's name in the list.
- It narrows the due notification to that person only. Unassigned follow-ups notify a wider group (see Due notifications below).
Statuses
A follow-up is either open or completed. There is no in-between state.
| Status | Meaning |
|---|---|
| Open | Not yet done. Open follow-ups are further split into "due now" (past their due time) and "upcoming" (due later). |
| Overdue | An open follow-up whose due time has already passed. Shown with a red due chip. |
| Completed | Marked done. Records who completed it and when. |
Tick the checkbox next to a follow-up to complete it, and tick it again to reopen it. Reopening clears the completion record and returns the follow-up to open.
The Follow-ups page
Open Follow-ups from the Operations section of the sidebar to see every follow-up across all your bookings in one place. The page has three tabs:
| Tab | Shows |
|---|---|
| Due now | Open follow-ups whose due time has arrived or passed. Carries a red count badge. |
| Upcoming | Open follow-ups due in the future. |
| Completed | Follow-ups that have been marked done. |
Grouping and sorting
Open follow-ups are grouped by when they are due: Overdue, Today, Tomorrow, This week, This month, and Later, each sorted earliest-first. Completed follow-ups are grouped by the month they were completed.
Row actions
Each row shows the description, a due-date chip (red when overdue), the assignee, and who added or completed it. Available actions:
- Complete / reopen using the checkbox.
- Edit to change the due date, description, or assignee.
- Open booking to jump to the linked booking (only appears when the follow-up is tied to a booking).
- Delete to remove the follow-up permanently.
Search
Use the search box to filter the visible list by description text, assignee name, or booking ID.
Where follow-ups show up
A follow-up you create surfaces in several places:
- On the booking, in the Internal Notes section. General follow-ups appear at the top; note-linked follow-ups appear indented beneath their note.
- On the Follow-ups page, in the tab and date group that matches its status and due time.
- In the sidebar badge, an amber count next to the Follow-ups link showing how many open follow-ups are due now. It refreshes automatically about every five minutes.
- In your notifications when the follow-up comes due (see below).
Follow-ups that are not tied to a booking are labelled with a Reminder tag in the list and have no "Open booking" action.
Due notifications
Once an hour, RentalTide checks for open follow-ups that have reached their due time and sends an in-app notification to the right people:
- If the follow-up is assigned to a specific person, only that person is notified.
- If it is unassigned, admins and the staff assigned to the booking's location are notified.
The notification links straight to the booking (or to the Follow-ups page for a reminder that has no booking). Each follow-up only notifies once, so it will not nag you repeatedly after the first alert.
Use the per-note Followup button when a customer mentions something you need to circle back on. The note text carries over into the description, so you capture both the record of the conversation and the reminder to act on it in one step.
Completing a follow-up is a team action -- there is no lock on who can check it off. If you need one specific person to own a task, assign it to them so the due notification goes only to them, but remember anyone can still mark it done.
Deleting a follow-up cannot be undone. To pause a follow-up without losing it, edit its due date to a later time instead of deleting it.
