Email deliverability & sending limits

How RentalTide protects email deliverability — new-account sending limits, how to lift them, sender reputation, and the acceptable-use rules that keep everyone's mail landing in the inbox

RentalTide sends transactional and marketing email on your behalf (booking confirmations, reminders, follow-ups, campaigns). To keep that mail landing in the inbox for every business on the platform, new accounts start with conservative sending limits that lift automatically as your account becomes established.

This page explains those limits, how to remove them, and the acceptable-use rules that protect the shared sending reputation.


Why there are sending limits

Email providers (Gmail, Outlook, etc.) assign a reputation to the systems that send mail. If one account sends spam or phishing, it can hurt deliverability for everyone sharing that reputation. To prevent that, brand-new accounts — which have no track record yet — are limited until they're verified as a real business.

This protects you too: it means another new account can never harm your mail.


Sending tiers

Your limits are based on whether you have an active Stripe Connect account (a connected payout account — i.e. you're set up to take payments) and how long your account has existed.

* "Unlimited" means there is no per-account warm-up cap; normal platform fair-use and your plan's quotas still apply.

The fastest way to lift your limits is to connect Stripe and take your first bookings. A real rental business taking payments is exactly the signal that lets us safely remove the caps. See Stripe setup.

If you hit a limit, sends are held rather than dropped, and you'll see a notice. Wait for the window to reset or connect Stripe to raise the ceiling.


Acceptable use

The sending limits exist to deter abuse, but the rules below apply to every account regardless of tier. Email sent through RentalTide must be for your own rental business communicating with your own customers.

The following are prohibited and will result in immediate account suspension:

  • Spam — unsolicited bulk email to addresses that didn't book with or opt in to your business.
  • Phishing — emails designed to steal passwords, payment details, or other credentials.
  • Brand impersonation — pretending to be another company (e.g. a fake "your payment failed, update your card" notice from a brand that isn't you).
  • Misleading links — links that hide their true destination (URL shorteners, redirect/click-tracking domains, raw IP addresses) pointing to off-platform pages.
  • Buying, scraping, or importing email lists you don't have permission to contact.

How this is enforced

RentalTide automatically scans email and automation templates when you save them. Content that matches phishing or brand-impersonation patterns is rejected and the account is suspended on the spot — before a single message is sent. We also monitor sending velocity and recipient patterns for abuse.

Legitimate templates are never affected: your booking confirmations, reminders, and even payment-reminder ("your membership payment didn't go through") emails use your own business name and RentalTide's secure payment links, which the scanner recognizes as safe.


Tips for great deliverability

  • Verify your sending domain. Authenticating your own domain (SPF/DKIM) makes your mail land in the inbox far more reliably than the default sender. Ask support to set up domain authentication.
  • Only email people who booked with you or opted in. Engaged recipients who open and reply are the single biggest driver of good reputation.
  • Keep your lists clean. Remove hard bounces and anyone who unsubscribes — every marketing email includes a one-click unsubscribe automatically.
  • Warm up gradually. A brand-new sender that suddenly blasts thousands of emails looks like spam. Ramp volume up over days, not minutes.
