Asset checklists (daily, weekly or every few days)

Put a paper boat checklist in RentalTide, see which units are overdue, and get an alert when one is missed.

An asset checklist is a form that every unit of a listing owes on a schedule: once a day, or once every few days (7 for weekly). Staff fill it on Today's Hub; RentalTide records who did it and when, shows which units are overdue, and can alert your managers when one is missed.

1. Build the checklist

  1. Go to Forms and click New template.
  2. Name it (for example "Weekly pontoon checklist").
  3. Click Paste a list and paste your checklist, one item per line:
    • a line ending in : starts a section (Cleaning:), or write Safety: Lifejackets, Throw ring to start a section and add both items;
    • end a line with # or (number) for a number (a lifejacket count);
    • (notes) gives a free-text box; (photo), (date) and (signature) work too;
    • end a line with * to make it required. You can also paste the table straight from Word or a spreadsheet: the first column is the section, the second the item.
  4. Check the preview, click Add, then Save.

Items that do not apply to some of your fleet: make one template per type of asset (pontoons, runabouts, charter boat) rather than one big list.

2. Assign it

  1. On the template, click Assign.
  2. Under When, pick Daily per asset or Every N days per asset and enter the number of days.
  3. Pick Specific items and choose the listings (the Quick add chips add a whole category). Every unit of each listing owes the check.
  4. Turn on Alert when overdue if you want to be told when a unit is missed.
  5. Click Assign.

A check is due on the day its repeat comes round (7 days after the last one, for weekly) and overdue from the day after. A new check has one full period before it can be overdue.

3. Fill it in

The checks show on Today's Hub (and at the top of Forms): overdue first, then due, with completed ones under Show completed. Staff tap Fill, tick the items and submit. Their name and the time are recorded.

4. See what is missing

Forms > Checklist log lists every unit with its last check, who did it, days since and how many boxes were ticked. Overdue units are in red. Filter by checklist or status, click a row to see the last check (unticked items first), and Export CSV for your records.

Overdue alerts

With Alert when overdue on, owners, admins and staff with Forms access get one notification per unit each time it goes overdue, from 7 AM your time. It arrives in the app and by push; to get it by email too, turn on email for Payments & Account Alerts under Profile > Notifications. It is never sent to customers and never by text.

Forms themselves (templates, field types, journey-stage forms) are covered in Forms.
