Holidays & Closures

Mark closed dates, set special hours, apply holiday pricing, and add holidays from a built-in calendar

The Holidays & Closures page lets you set specific dates when a location is closed, runs different hours, or charges different prices. These are schedule exceptions: they override your normal weekly schedule and pricing for the dates you choose, and they apply across every inventory item at the selected location. Find the page under Holidays in the navigation (/holidays).

Holidays are managed one location at a time. Pick the location from the location selector at the top of the app, then add or edit its holidays below. Each location keeps its own list.


How holidays work

Every entry you create is a date rule with three parts you can mix and match:

Special hoursThe day stays open but uses different open and close times than your normal weekly schedule.
Price changeThe day stays open at normal or special hours, but daily and hourly prices are adjusted up or down.

A single entry can be closed, or open with special hours, or open with a price change, or open with both special hours and a price change. Closed always wins: if a date is marked closed, its hours and pricing fields do not apply.

Changes are not live until you save. When you edit anything, an unsaved-changes bar appears at the bottom of the page. Click Save changes to apply, or Discard to revert. Switching to a different location before saving drops any unsaved edits.


Marking a closed date

  1. Click Add holiday. A new entry appears, expanded and set to closed by default.
  2. Set the Start date. To close a stretch of days, also set an End date (the range is inclusive of both dates). Leave the end date blank for a single day.
  3. Enter a Description so staff recognize it, for example "Christmas Day" or "Staff training".
  4. Leave Closed all day switched on.
  5. Optionally turn on Repeat every year so the closure returns automatically on the same month and day each year (see below).
  6. Save your changes.

Closed dates are shown with a red dot and a Closed badge in the list.


Special-hours exceptions

To keep a day open but change its hours, turn Closed all day off. This reveals the hours and pricing controls.

  • Set the Open and Close times for that date. These replace your location's usual hours (and any seasonal hours) for the affected days.
  • Open days are shown with a green dot and an Open badge listing the hours.

Request to book (approve or deny)

When a day is open, you can also turn on Request to book (approve/deny). The date stays bookable, but every booking that lands on it arrives as pending approval so staff can approve or deny it before it is confirmed. This is useful for dates you may want to staff only if demand is high. If a date is marked closed, this setting has no effect, because closed dates cannot be booked at all.


Holiday pricing

For an open day, the Hours & pricing section lets you raise or lower prices for that date. Choose one of two ways to adjust, using the toggle:

Notes:

  • Use a positive number to raise the price and a negative number to lower it (a discount). For example, +20% daily markup charges 20 percent more per day; -10% charges 10 percent less.
  • The daily field affects day-based rentals and the hourly field affects hour-based rentals, so you can adjust each independently.
  • You can only use one adjustment type per holiday. Switching from percentage to dollar amount (or back) clears the other set of values, so a given date always carries just one kind of adjustment.
  • Any price change is summarized on the collapsed entry, for example +20% day or +$15/hr.

Add from calendar (presets)

Rather than typing common holidays by hand, click Add from calendar to pick from a built-in list.

  1. Choose a country: United States, Canada, or Australia.
  2. Choose the year: the current year or next year.
  3. Check the holidays you want, or use Select all. Dates you have already added are dimmed and marked "already added" so you cannot create duplicates.
  4. Click Add selected.

Each preset is added as a closed day with default hours (which you can then edit to be open, add special hours, or add pricing). Two kinds of presets exist:

Fixed-date presets are created with Repeat every year already turned on. Floating presets are added as a single dated entry for the selected year; add them again for future years as needed.


Repeat every year

The Repeat every year switch (on individual entries and on fixed-date presets) makes a holiday match only the month and day, ignoring the year. Define Christmas once and it applies every December 25 going forward. This also works for date ranges: a recurring range that ends before it starts is treated as wrapping the new year, for example December 24 through January 2.

Use it for holidays that fall on the same calendar date every year. For holidays that move (such as Thanksgiving or a floating provincial holiday), leave it off and add the specific date each year.


Season date overrides

Below your holiday list, the Season date overrides section shows date-specific rules that were defined inside your seasonal pricing rather than here. Those are edited in the pricing matrix for an individual inventory item, not on this page, so this section is read-only. Click Show to load them.

This is a convenience view so you can see every date override that affects the location in one place. When a season override and a location holiday fall on the same date, the holiday on this page takes precedence.


How holidays affect availability and pricing

  • Availability: On a closed date, inventory shows as unavailable to customers browsing dates online and to staff booking internally. On an open date with special hours, only the hours you set are offered for that day. On a request-to-book date, the day stays available but new bookings come in as pending approval.
  • Pricing: On an open date, your holiday markup or increase is applied when the price is calculated for a booking that includes that date, for both online and internal bookings.
  • Priority: Location holidays defined on this page take priority over per-season schedule exceptions on any conflicting date. Within a single date, a closed setting overrides any hours or pricing on the same entry.
Tip

Use a date range with Repeat every year to model a recurring seasonal closure (for example a winter shutdown) as one entry, instead of adding each day separately.

Troubleshooting

A holiday is not taking effect -- Make sure you clicked Save changes. Edits are only stored after you save, and switching locations before saving discards them.

Prices did not change on the holiday -- Confirm the day is not marked Closed all day (pricing fields only apply to open days) and that you entered the adjustment in the daily field for day rentals or the hourly field for hourly rentals.

A preset would not add -- Dates already in your list are shown as "already added" and cannot be added twice. Edit the existing entry instead.

A season override still applies -- Season date overrides are edited in the inventory item's pricing matrix, not on this page. Add a location holiday for the same date to override it.
