Opening and closing the till, paid outs and paid ins

Count the float when a cash drawer opens, close it with a recount, reopen a close, and record cash taken out of or put into the drawer.

Count the till at open and close

Turn it on in Location Settings > Registers & Receipts > Count the till at open and close. It is off unless you turn it on, and Till Closing works as it always has while it is off.

Opening a drawer

Each cash drawer is opened by counting the cash in it, from Till Closing (the Open till button on the drawer) or from the register (the banner that says the drawer is not open, or Open till in the register's menu). Selling still works while a drawer is not open.

The count is checked against what the drawer should hold:

  • the float left at the drawer's last close, or
  • the drawer's float amount the first time.

If the count is different, the difference is recorded as a handover difference, under the name of the person who opened the drawer, and posts to Cash Variance (8190).

Closing a drawer

Count the drawer. Till Closing shows what it expects: the opening count, plus cash sales, less paid outs, plus paid ins.

If the count does not match, you are asked again: Recount to count the drawer again, or close with the difference and an optional note. The difference posts to Cash Variance (8190) once.

Enter the float left in the drawer for the next open (it starts at the drawer's float amount). Till Closing shows the cash to bank: what you counted less the float left.

A drawer that nobody opened can still be closed. It is closed against what it should have held.

Reopening a close

An Owner or Admin can reopen a drawer's close on the day it was made, from Till Closing > History > Reopen, as long as the drawer has not been opened again since. Reopening:

  • reverses the close's difference in the ledger (nothing is deleted or edited),
  • puts the close's sales back into the open till, so they can be edited and are counted again,
  • keeps the first close in the drawer's history.

Count the drawer and close it again.

From the register's menu, Paid out / in records cash taken out of the drawer to pay for something (milk, stamps, a courier) or cash put into it (coins from the safe). It works whether or not you count the till at open and close.

  • Amount: the cash that left or entered the drawer.
  • Reason: what it was for.
  • Account: where it posts. A paid out defaults to Till Paid Outs (8180), a paid in to Till Cash Transfers (1025). Map both in Xero like any other code.
  • Tax on the receipt (paid out only): the GST included in the amount is claimed as an input credit on your GST account.
  • Receipt photo (optional): stored privately.

The drawer's next close takes paid outs off, and paid ins on, the cash it expects. Till Closing > History lists them with who recorded them.
